The Settlements area of your dashboard is where you can close out auth-only charges, make tip adjustments for your orders and settle your open batch of transactions each day. (You can also automate the batch settlement in your settings.)
All auth-only transactions and pending tip transactions will move into your open batch once you've captured the final amount. Make sure you close out your auth-only and tip transactions each day before completing the daily batch settlement.
Auth-Only Transactions
Auth-only transactions let you open an order for a customer and increase the authorized amount incrementally until your customer is ready to pay. This is a great option when you'll need to add items to an order over time, like if your customer wants to open a bar tab.
You'll need to process an initial authorization, then increase the amount as needed and close out the final order. Here's how:
Step 1: Create the auth-only transaction
- When creating an order on your POS device, select the arrow next to Sale and change it to Auth-Only.
- Enter the amount and swipe the credit card. The card will be authorized for the amount entered, but it won't be charged until you close out the order.
Step 2: Close the auth-only transaction
- Go to the dashboard in your web browser and select Settlements. The current total number of pending transactions appears at the top of the page as a quick reference.
- Select Auth only to see the list of open orders.
- To adjust the final charge amount, locate the order in the list.
- Select the field under Amount and enter the amount to charge. Select Save. (You can also select Void here to cancel the charge completely.)
- Select Capture to confirm the final charge amount and move the order into your daily open batch list for processing.
Tip Adjustments
If you have tips enabled for your business, you may need to add a tip and capture the final amount if a tip wasn't entered at the time of order (for example, the customer wrote the tip on a paper receipt).
- From your dashboard, select Settlements. The current total number of pending transactions appears at the top of the page as a quick reference.
- Select Pending tip to see the list of orders without a tip amount.
- To add a tip, locate the order in the list.
- Select the field under Tip and enter in the correct tip amount. Select Save.
- Select Capture to confirm the final charge amount and move the order into your daily open batch list for processing.
- Once you've updated all orders with pending tips, select Add all to batch to move any remaining orders to your open batch. This will close out all orders where the customer hasn't added a tip, so you don't need to manually enter a $0 tip amount into each one.
Batch Settlement
You'll need to settle your open batch daily to receive the money from your transactions. Once you've captured the final amounts for auth-only charges and pending tip transactions, they'll move to the open batch for processing.
By default, you'll need to manually settle your open batch at each close of day to receive the money from the transactions. If you prefer, you can also change your settings to automate the daily batch settlement, so you don't need to worry about it.
If you're settling batches manually, make sure you do it at each close of day. Unsettled transactions will remain in the open batch, and you won't receive the money until they're settled.
Manually settle an open batch
- From your dashboard, select Settlements. The current total number of pending transactions appears at the top of the page as a quick reference.
- All unsettled transactions appear under Open batch. Review any transactions if needed.
- Select Settle open batch to settle all open transactions for the day.
- All settled transactions will appear in your Transactions Report. Select Reports, and then Transactions Report to see a list of all completed transactions.
Automatically settle open batches
- To set your open batches to settle automatically, select Settlements from your dashboard.
- Select Set Up Auto Settlement.
- You can also reach this page by selecting Settings from your dashboard, and then Settlements.
- Use the toggle to turn Auto-settlement on. Moving forward, your open batch will automatically settle at the close of each business day.
- Keep in mind that you'll still need to manually close out any auth-only and pending tip transactions to move them into your open batch.
